Who this training is for

Clinical site staff — for example radiotherapy technologists, medical physicists, or trial data managers — responsible for submitting patient imaging data to a clinical trial through AitriumOS, where the trial page shows a Trial Data Submission Schedule with a Patient Submission Queue of each patient’s study arm, regimens, and submission status. You will normally arrive at this page from a link inside AitriumOS or from your trial coordinator, identifying it as the training for your trial. If you are unsure whether this is the right curriculum for your trial, ask your trial coordinator.

What you will learn

  • How to set up AitriumOS, including what your IT team needs to confirm before you start
  • How to configure a patient’s treatment regimen so their data submissions are scheduled correctly
  • How the submission process protects patient privacy through validation, standardization, and de-identification
  • How QA policy evaluation works and how to respond to deviations
  • How to submit each patient’s scheduled datasets, monitor their status, and resubmit when needed
  • Where to get help if something goes wrong

Curriculum

Review the following materials in order:
1

Getting Started

Read Getting Started, including the Before You Begin section — forward its IT requirements to your IT team if you have not already. Watch the installation and first-use videos on that page. (~10 minutes)
2

RTQA Data Submission

Read RTQA Data Submission and watch the step-by-step walkthrough video at the top of the page. The guide covers patient regimen setup, the trial data submission schedule, QA policy evaluation, and the Resubmitting a Dataset section. Pay particular attention to the de-identification review step. (~30 minutes)
Critical behaviors. Keep AitriumOS open until the Submission complete screen appears at the end of every upload, and always confirm the event shows Completed in the Patient Submission Queue before you finish. Closing the application too early can leave a submission unregistered — the RTQA Data Submission guide covers both behaviors.
Trial-specific instructions. Some trials display additional instructions from the trial team in AitriumOS after you complete a submission. These supplement this training with requirements unique to your trial — review and follow them each time they appear.

Confirming your training

After reviewing the materials above, you confirm completion inside AitriumOS: the first time you open a trial that requires this training, you will be shown a confirmation prompt before you can upload patient data. Your confirmation — including the training version you reviewed and the date — is recorded for the trial sponsor’s compliance records. If the training materials are materially updated (for example, after a significant software change), you will be asked to review and confirm again before your next upload.
